How Office 365 can benefit your business during lockdown & Covid-19?

I joined Nautilus Marketing in April 2020, I intended to migrate from Thunderbird to Office 365 one weekend during the COVID-19 crisis, to reap the collaborative benefits which Office 365 can offer to businesses in any industry.

The COVID-19 pandemic was in full swing mid-April, I made the decision to move our mail services over to O365 one evening. The process was painless & we were back up and running within the hour.

We selected a package where we could utilise all Office 365 applications on local devices, create a team SharePoint site to share resources, knowledge, documentation & backup all of our documentation into the cloud, via OneDrive.

WHY OFFICE 365?

Office 365 is a fantastic business-oriented suite which encourages collaboration for your business with ease, there’s no need to be an ‘IT Expert’ either as Office 365 is simple to learn and straightforward to use. You’re able to access your data (providing it’s on OneDrive!) & emails from any given device, no more lugging external drives around with you. Not to mention, you’re able to set your email accounts up with two-factor authentication for extra security!

ONEDRIVE FOR BUSINESS

OneDrive for Business is a cloud service offered by Microsoft – OneDrive allows you to store & protect your documents & data, share them out to internal and external colleagues and you’ve got the ability to access this data from anywhere, not just on one PC!

SHAREPOINT

SharePoint can be used as a single secure location to store, organise, distribute & access information from any device. All you’d need is to be given access to the SharePoint site in question & have a web browser to hand, an example of a SharePoint site in action – You store information around clients in separate folders on your SharePoint site, each of these folders contain information around the specific client & can be accessed by whomever you grant access to the SharePoint site. You’re also able to synchronise the SharePoint site into your explorer for ease of access, much like OneDrive for Business!

MICROSOFT TEAMS

Teams allows for quick communication privately and in groups. You can host conference calls, catch up with your team and communicate effectively using other 365 applications.  In today’s world where we can easily source talent from anywhere in the world, getting people quickly up to speed is so important. With Teams, you can quickly get new team members onboard and engaged in the teamwork – no matter where in the world they are located.

There are hundreds of free SEO tools out there, so we wanted to test and focus on the websites that we find most useful and links to add to your SEO toolbox for your clients or for your companies SEO strategy! Let’s get started

GOOGLE KEYWORD PLANNER

This is a great tool, Google Keyword Planner allows you an insight into how often certain words are searched and how those searches have changed over time. This can help you narrow your keyword list down to the ones you really want. You can also search for words or phrases related to your products or services. The keyword research tool will help you find the keywords that are most relevant for your business. Once you’ve found the keywords you like, you can add them to your advertising plan. Save your plan for future reference or share with your team. A great one to have in your toolbox!

AHREFS

Ahrefs is a great free tool for you to use, it is great to check your backlinks and see in depth data on the links and referring domains. You can see a complete breakdown of all outbound links such as:

  • Domain Rating (DR)
  • Ahrefs Rank (AR)
  • Total followed referring domains
  • Total followed linked domains
  • Estimated organic traffic
  • Number of links from the target (total & followed)

MOZ

An awesome free tool to give you an in depth view on your SEO. Moz also gives detailed information on Domain Authority. The domain authority of a website describes its relevance for a specific industry. This relevance has a direct impact on ranking by search engines, trying to assess domain authority through automated analytic algorithms! Check Moz out for yourself here.

ANSWER THE PUBLIC

This website is not just good for SEO but any content your writing. It is ideal for creating new social media posts, podcast topics or blog articles. Simply head to Answer the Public type in a keyword and then it will bring up below you can see an example when we type in Website Design. As you can see it brings up loads of ideas for you to start creating content and what people are actively searching for!

ALEXA

A tool we have been using for years, Alexa gives us the opportunity to view free statistics for any website that gets good traffic. If the website gets 10 views a month you won’t get much valuable info from here but 500 a month, you will start to get good data from here.  If you want to see what your competitors keywords they are high ranking for, use this tool. This site also shows your bounce rate, the lower the better the higher… not so good!

SEO SITE CHECKUP

Another free tool but it will only allow you to show one domain per 24 hours! SEO Site Checkup will give you a percentage on how well your SEO is for your website and some tips of what you can do to improve your rankings. It gives you a good audit and what needs to be changed and revised!

CAN I RANK

A new one we have been using here at Nautilus Marketing but definitely one we will be using more often. This tool is great to show your competition and compare your stats to each other which will give you a good insight into what you are doing right and wrongly in terms of SEO. Can I rank has a great interface and is a nerds dream in terms of statistics! You can also view how many people are sharing your website on social media. The opportunity tab gives great information and tips from your website giving you a time frame of how long the changes will take – giving you real information that is personalised to your site!

UBERSUGGEST

We all know Neil Patel is the KING of SEO and this website is a gold mine! This is another free tool for you to utilise and add to the box. Ubersuggest gives you all the usual data you would normally get from the SEO websites BUT it showcases your top-ranking pages. *Secret tip* you can reverse engineer exactly what your competitors are doing from this tool and see how many visitors they are getting, you can then use this data to put together your SEO Strategy!

MOBILE MOXIE

Search Engine Ranking Page (SERP)  the reason you would use this tool is to see where you are ranking on Google for any specific keywords anywhere in the world! For example if we wanted to see where we are ranking for Website Design in Canada, we can use this tool to see where we are ranking without having to call people in that country to check for us. YOAST

Last but not least, a plugin, YOAST! There is a free and paid version, free is perfectly fine. It will show you how many characters are too much or too little when putting together your title tag, title description or title text. As you are doing this it will also mockup what it will look like on Google, which is fun… well for us nerds it is!

Moz

Moz is an awesome free SEO tool that can help give you an in-depth view on your SEO. While they do have a paid tool which has much more features and value, you can get by on the free services for a while.

They offer a Keyword Explorer, a domain authority checker, competition checker, backlink tool, loads of stuff.

It’s affordable pricing makes it a worthy addition to your toolkit, so if you often wonder how much does SEO cost you may be pleasantly surprised by Moz’s affordable pricing model..

Moz has a very simple UI which is helpful if you’re inexperienced with SEO and trying to learn it as you go along. The more used-to the platform you become, the more you’ll be able to do with it.

Answer the Public is a great free SEO tool for both SEO and improving your writing! You can use it to create new social media posts, podcast topics, or blog articles.

By typing in 1-2 keywords, Answer the Public will bring up a ton of different questions that users are searching in Google related to them.

Answer the Public also displays lists of keyphrases with different prepositions for even more content ideas.

Worth mentioning that you can also filter searches by region and language, offering even more data.

Answer the Public is in equal measures a fantastic SEO and content creation tool.

Google Search Console (GSC) is a completely free SEO tool, easy to set up, and is one of the most crucial SEO tools you need, regardless of experience level.

You can also use it to monitor and resolve server or site load issues, helping you ensure your website maintains functionality and doesn’t lose customers through downtime.
